Free late-payment calculators give you a number for one invoice. Lateby bills it: from your whole Xero invoice export it makes draft interest invoices ready to import into Xero, a PDF notice per customer showing each calculation, and does it for all your customers in one batch. For bookkeepers, accounting practices and businesses that use Xero; it runs in your browser and nothing is uploaded.

One plan per practice or business, not per Xero organisation or user. Try it free with no account or sign-up.

How the Practice plan works

  1. Subscribe above. Checkout is handled by Paddle, our reseller and Merchant of Record.
  2. When checkout completes you see your license key (it starts with txn_).
  3. Paste the key into Lateby. Your browser checks it with our server each time you open Lateby. Only the key is sent, never your export.

Questions

What file do I need? Xero’s invoice export (a CSV with each invoice’s due date and amount due). The Aged Receivables Detail report saved to Excel (.xlsx) works too. A CSV in a decimal-comma region (1.234,56) is detected, and when Lateby cannot tell it asks you to choose.

How is interest worked out? Simple interest on the amount still due on each invoice: amount × yearly rate × days late ÷ 365 (or 360), rounded to the cent per invoice. A monthly rate is treated as 12 times that rate a year. Under the UK statutory rule each invoice gets 8% plus the Bank of England Bank Rate for the half-year in which its interest started to run, from a built-in table you can edit. Every rate and figure is shown in the summary and written on the notice.

What can it not see? Xero’s export has no payment dates, so interest on invoices already paid late is not worked out, and a part-paid invoice is charged on today’s balance for the whole period.

Can I charge interest at all? Usually only if your terms say so, or the law gives you the right (for example the UK Late Payment of Commercial Debts (Interest) Act 1998 for business-to-business debts). Lateby is a calculator, not legal advice. Do not use it for consumer debts.

What is a batch? One export file. The free version makes the import file and notices for the first 3 customers charged; the summary always covers everyone.

Does Lateby create invoices in Xero or email my customers? No. You import the file into Xero yourself; the interest invoices arrive as drafts for you to check and approve, and you send them from Xero or your own email.

Is it connected to Xero? No. Lateby is independent and not affiliated with or endorsed by Xero. It works only on files you export yourself.

How do I cancel? Use the link in your Paddle receipt email, or email us and we will cancel for you. See Terms.
